  • Oversee routine referral and office activity, ensuring referrals are processed correctly.
  • Respond to routine enquiries from referral agencies and provide guidance on the referral process where appropriate.
  • Identify and escalate unusual or complex referrals, safeguarding concerns and other matters requiring the Manager’s attention.
  • Respond to routine telephone, email and enquiries, including arranging donation collections, supporting donor acknowledgements and giving basic advice to clients on getting support from the Foodbank.
  • Coordinate drivers, food parcel deliveries, urgent deliveries and one-off donation collections.
  • Support volunteer rotas and arrange cover where required.
  • Support volunteer recruitment, induction and administration, including maintaining appropriate volunteer and training records.
  • Support volunteer training, recognition and retention, including refresher training and the development of guidance and training materials.
  • Ensure health and safety and food hygiene procedures are followed and routine safety checks are completed, reporting concerns to the Manager.
  • Act as the first point of contact for routine operational matters and provide day-to-day operational cover when the Manager is unavailable.
  • Maintain relationships with referral agencies and partner organisations and support community engagement, social media, donation drives, supermarket collections and events.

About you

We are looking for someone who:

  • Has experience of working in the third sector and working with volunteers.
  • Is organised, reliable and comfortable taking responsibility for routine day-to-day operations.
  • Can work positively with a large and varied volunteer team.
  • Can manage and prioritise a large number of smaller tasks, often at the same time, and solve routine problems.
  • Is able to carry out manual work.
  • Communicates clearly and respectfully with volunteers, referral partners, donors and members of the public.
  • Has an understanding of the social and financial challenges within the Falkirk District and is committed to treating people with dignity and respect.

  • Can follow procedures carefully, including health and safety, safeguarding and confidentiality requirements.
  • Works well as part of a small team and is comfortable working closely with the Foodbank Manager.
